Participant Agreement

Welcome

We’re delighted you’re joining LEGS! This agreement explains how our classes and memberships work so everything is clear, fair, and safe for all participants.

This agreement forms part of your participation with LEGS and applies to all members attending sessions.

Eligibility

Our sessions are for adults aged 18+ with a neurological condition. 

Health & Safety

Before your first session, you’ll complete an assessment with a specialist neuro physiotherapist to ensure your safety.

In some case, we may contact your GP or consultant for medical clearance if your symptoms are unstable.

You’ll sign a Consent Form before starting.

Please update us if your health changes at any time.

Follow medical advice and stop exercising if you feel unwell.

Do not attend sessions if you have an infection, feel unwell, or may put others at risk.

Emergency Contact

Provide a name, phone number and email for an emergency contact.

Keep this information up to date.

For online classes, tell us if you’re not at your usual address so we know where to send help in an emergency.

Payment

Pay in advance by bank transfer, standing order, or cheque (details on your invoice).

Current prices are on our website and will be discussed during your assessment.

Payment Policy

Membership is sold as a block of 11 weeks of exercise sessions (£110 per block).

If you join mid-block, you pay for the remaining sessions.

If you leave mid-block, refunds are only possible if someone takes your place.

You can try on class before committing. We’ll invoice you upfront, but payment is due only if you continue.

Payment options: Full block: £110 or monthly standing order £36.66

Payment must be received before classes start.

These policies are in place to ensure fairness and sustainability of sessions for all members.

Cancellations & Refunds

Missed classes cannot be refunded.

For absences longer than 4 weeks, or injury-related breaks, contact us - we’ll try to help where possible.

If we cancel a class, we’ll offer a replacement or refund.

To leave, notify us and cancel any standing orders.

Attendance & Commitment

Your place is part of a small group and regular attendance supports both your progress and the group dynamic.

If you are unable to attend, please inform us in advance where possible.

Repeated non-attendance without communication may result in your place being reviewed.

Price Changes

Prices may increase annually. We’ll give at least 30 days’ notice by email.

Bursary Scheme

If cost is a barrier to you joining LEGS, ask about our Bursary Scheme. We never want finances to stop you joining.

Code of Conduct

No bullying, harassment, or discrimination.

Be respectful, inclusive, and kind.

Follow staff guidelines during sessions to ensure safety and effectiveness.

Do not engage in disruptive behaviour that may affect the experience of others.

Use and LEGS communication platforms (e.g. WhatsApp groups) respectfully and appropriately.

Data Privacy

We keep your information safe and confidential.

We only share data with those providing your care with your consent.

We anonymise outcome data to improve services.

Confidentiality

Please keep personal stories shared in classes private unless you have permission to share.

Insurance

We hold £5,000,000 public liability and £250,000 professional indemnity insurance.

Ask if you’d like to see the certificate.

Limiting Liability

Nothing in the agreement limits our legal responsibility if our negligence causes harm.

Events Outside our Control

Floods, pandemics, or similar events may disrupt sessions.

We’ll keep you informed.

Complaints

If unresolved, you can contact the Charity Commission or Fundraising Regulator.

Changes To This Agreement

We may update this agreement.

Members will receive 30 days’ notice by email.

Enforcement

Where these expectations are not met, LEGS reserves the right to review participation.

This may include issuing warnings or, where necessary, withdrawing access to sessions to protect the safety and wellbeing of the group.
